Privacy for course instructors

This policy explains how The Maternity App handles personal data of course instructors — including credentialing data, recordings, likeness rights, payouts, and the limits on what you can do with the data of students who enrol in your course.
01. Who we are
Everseed Ventures is the controller of your personal data as an instructor. Contact our DPO at team@maternity.app.
02. What we collect from you
- Application and credentials. Name, email, CV, professional registration number, qualifications, ID for verification, criminal-record check where applicable, references.
- Course inputs. Recorded video and audio, slides, scripts, supporting materials, your image and voice in promotional clips.
- Operational data. Cohort messages, Q&A replies, course updates, response times, student feedback/ratings.
- Payout data. Bank or equivalent details, tax identification, invoices.
- Account and usage. Login, device, browser, IP, in-app actions.
03. Why we use it (and the legal basis)
- To run the instructor relationship with you. Legal basis: contract.
- To verify your professional credentials. Legal basis: our legitimate interest in student safety; explicit consent for sensitive data; sometimes legal obligation.
- To produce, host, distribute, and promote your course. Legal basis: contract.
- To pay you and account for the payments. Legal basis: contract; legal obligation.
- To moderate quality and safeguarding. Legal basis: legitimate interest in protecting students; legal obligation where applicable.
- To improve the platform and recommend your course. Legal basis: legitimate interest.
05. Controller and processor roles for student data
The Maternity App is the controller of student personal data on the platform. When you receive enrolment data or read student questions, you are acting as our processor for that student data, governed by the Data Processing Addendum in the instructor handbook. You may not use student data for any purpose other than teaching the course in which the student is enrolled.
For students who voluntarily contact you outside the platform and engage you for separate services, you become an independent controller for the data they then share with you; but solicitation off-platform during a course is not allowed (see the Instructor Terms).
06. Recordings and likeness
By uploading or recording on our platform, you grant us the right to use your name, voice, image, and likeness in the course itself, on the platform, in promotional clips for the course, and in case studies, for as long as the course is published plus a 24-month tail. You can request removal from new promotional uses on 60 days’ notice; promotional assets already published in third-party channels (e.g. ad networks) will be retired in their natural cycle.
07. International transfers
Some of our processors operate outside the EEA. We use the European Commission’s Standard Contractual Clauses and supplementary safeguards as needed.
08. How long we keep it
- Active instructor account. While the account is active, plus a reasonable wind-down period.
- Course content. While published, plus the 24-month tail to honour members who already paid for it.
- Credentials and verification. For the duration of the relationship, then archived to handle any later regulatory query, generally five years.
- Financial and tax records. At least 7 years.
- Safeguarding incidents. Indefinitely where relevant for student safety, subject to GDPR proportionality.
09. Your rights
You have the standard GDPR rights — access, correction, erasure (subject to legal exceptions), restriction, portability, objection, withdrawal of consent, and complaint to the data-protection authority. Erasure of personal identifiers does not require us to take down a published course already paid for by members; we will negotiate alternatives in good faith.
10. Security
Instructor accounts are protected by mandatory two-factor authentication, encryption in transit and at rest, restricted access for staff, audit logging, and separate storage of verification documents under stricter access.
11. Changes to this policy
We may update this policy. We will notify instructor accounts of material changes at least 30 days before they take effect.
